Communicating With Your Campers Before They Arrive: A Guide to Setting Expectations

Setting the right expectations for your campers can make all the difference between a smooth, enjoyable stay and one filled with unwelcome surprises.

By proactively communicating with your guests, you can avoid time-consuming questions and ensure a positive experience. But what should you communicate, and how can you effectively reach your campers?

Where to Communicate with Your Campers

In today’s technological age, the best way to inform your campers of their expectations is via digital communications.

Here are the main platforms to consider:

  • Your Campground Website: This is the primary source of truth for your business. Use your homepage to convey essential information, such as what sets your experience apart, what's included, and basic logistics. An FAQ section will help answer important questions and give your campers peace of mind that they have chosen the right place for their stay.

  • Social Media: Using social media to convey unique information about your campground works a treat. Share quick updates, special events, and weather alerts on your social media platforms. The best part about this is that you now have a range of topics to share with guests, to ensure you stay front of mind when they are choosing where to stay.

  • Email Marketing: For larger, well established campgrounds and caravan parks, e-mail marketing can be used to send targeted messages to your guests. The reason we recommend this only for larger sites is that e-mail marketing can be tricky to get right – we’ve seen many campground e-mail addresses end up in the junk mail folder by not following the rules of e-mail marketing. Trekabout Marketing can help you create effective email campaigns to keep your campers informed of what they need to know before arriving onsite.

  • SMS Marketing: Text messaging is a great way to send timely updates and reminders. Some OTA’s have inbuilt SMS capabilities – be sure to leverage these to ensure a seamless experience for campers.

  • Google Business Profile: Keep your campground Google Business Profile up-to-date with accurate information, including your business hours, contact information, and website link. Just like your social media channels, your Google Business Profile has a section for you to share relevant updates about your campground or caravan park. Make good use of this, as it will help your search engine results.

  • Online Travel Agency Listings: Ensure your listings on platforms like Hipcamp, Airbnb, and Wikicamps are accurate and up-to-date. This will help you communicate the right information to campers and manage guest expectations.
